What this system records when you sign an indemnity at the BMW Gen M activation, and what happens to it afterwards.

Who is responsible for this information

What is recorded
This system exists to record who signed which indemnity, in which car. It holds nothing else, and it holds no email address for any guest at all.
- If you are driving
- Your name, mobile number, South African ID number and date of birth. Also the registration, model and year of the car, how many people are riding with you, your signature, and the exact wording you signed against. Your driving licence is checked but its number is not recorded.
- If you are a passenger
- Your name, mobile number, South African ID number and date of birth, your signature and the exact wording you signed against. A passenger gives the same personal details as a driver. No driving licence is asked for or accepted from a passenger, because a passenger does not drive.
- If you are signing for a child
- Your name, your relationship to the child, your South African ID number and your mobile number, and your signature in the child’s place. The child gives their own name and South African ID number, from which their date of birth is taken, and your mobile number stands as the contact number for both of you.
- Alongside every signature
- The time it was accepted, the network address the tablet was using, and the browser it was signed on. These are evidence that the signature happened, and they are of no use without the record they sit beside.
Why it is recorded

What can be said now is narrower and is true regardless of that wording: an indemnity is a signed record of a risk you accepted before driving or riding in a high-performance vehicle, and it is kept so that it can be produced if a claim is ever made.
How it is held
ID numbers and driving licence numbers are encrypted before they are stored, and staff screens never show them in full — only the last four digits, and only where a marshal needs to confirm they have the right person.
The signed list staff work from shows neither ID nor licence numbers, and no mobile number at all.
Everything is stored on servers in South Africa. Nothing about your information leaves the country in the ordinary running of this system.
Children
Nobody under the minimum age set for this event may sign at all. A child between that age and eighteen may ride as a passenger only, and only where a parent or legal guardian signs on their behalf as a competent person.
A child is never the driver, and no driving licence is ever collected from a child. A child’s South African ID number is recorded in the same way an adult passenger’s is, because it is what establishes their age and therefore that a guardian has to sign for them.
